    Z‑Reading — Computation Guide

How every figure on the Z‑Reading is calculated. Use this to answer "where does this number come from?"

    01 — Overview

    What the Z‑Reading is

The end‑of‑day fiscal reset for one POS terminal. Each terminal files its own Z per calendar day, with its own Z counter. Once filed, that terminal is locked for that date — a second attempt just reprints and shows "You have already generated a Z‑Reading for this date."

Everything on it covers: one Sales Date, one terminal (Terminal #), all shifts on that terminal combined.

    Two definitions used throughout
    Sale
    A completed transaction (SALES).
    Refund
A same‑day reversal transaction with negative amounts. It subtracts from the day's figures.
    Void
A cancelled sale. It never subtracts from the tax figures — it only shows on the Void Sales line.
    02 — Identification

    Header lines

    LineWhere it comes from
Terminal #The workstation number of this POS.
CashierThe user logged in when the Z was run.
Report Date / TimeThe moment the Z‑Reading was generated.
Sales DateThe business day being closed.
    Z CounterThis terminal's own running count of Z‑Readings + 1. A brand‑new terminal starts at 1.
Reset CounterThis terminal's reset counter (increments only if the OR number ever rolls over at 99,999,999 — normally stays 0).
    03 — Running Totals

    Balance ladder

    LineFormula
Beg. BalanceSum of all Net Amount (total paid) for this terminal for every day before today. This is the running "grand total" as it stood at yesterday's close.
Net AmountToday's net: Σ (sales total paid) − Σ (refund amounts).
Ending BalanceBeg. Balance + Net Amount — the new running grand total.
Acc. Grand TotalSame as Ending Balance (the accumulated grand total after this Z).
Closing TotalSame as Net Amount (today's net).
Beg. Balance + Net Amount = Ending Balance

A cross‑date void (a sale from an earlier day cancelled today) stays inside the grand total — it was a real sale on its own day. It shows on today's Void Sales line but does not pull the register down.

    04 — Volumes

    Counts

    LineFormula
Beg. Invoice # / Ending Invoice #The lowest / highest OR number issued on this terminal today (sales + voided sales).
    # of TransactionsCount of sales + voided sales, plus the count of voids again. (The voided ticket is counted twice — this is how the report has always worked.)
    # of Void Trx'sCount of transactions voided today on this terminal.
    # of Items SoldTotal quantity of line items on sales tickets. (A refunded item is not subtracted here — this is the gross count.)
    05 — Tax Figures

    Sales & VAT figures

All of these are net of same‑day refunds and exclude voids.

    LineFormula
Gross AmountOriginal selling price (VAT‑inclusive, before any discount) of all sold items − the VAT portion of SC/PWD discounts − refunds − a small discount‑rounding reconciliation. This is the "grossed‑up" sales figure.
Sales Ret (Vat Incl)Total of returned/refunded VATable line items (negative).
Sales Ret (Vat Exmp)Total of returned/refunded VAT‑exempt line items (negative).
Void SalesTotal amount of all transactions voided today (shown negative). Informational only — not deducted from anything below.
SC DiscountSenior Citizen discount granted (SC method), net of any refunded senior sales.
PWD DiscountPWD discount granted (PWD method), net of refunds.
RegularOrdinary line discounts (not SC/PWD), net of refunds. If a discounted sale is fully refunded, this nets to 0.00.
VATable SalesΣ (VATable sales of each invoice) − Σ (VATable portion of refunds).
VAT AmountΣ (output VAT of each invoice) − Σ (VAT portion of refunds).
VAT‑Exempt SalesΣ (VAT‑exempt sales) − Σ (exempt portion of refunds).
Zero‑Rated SalesΣ of zero‑rated line items.
    Net Amt (VAT Incl)VATable Sales × 1.12.
Net Amt (VAT Ex.)Net Amount − VAT Amount.
    Rounding note

VAT Amount is the sum of each invoice's already‑rounded VAT, not VATable × 12% recomputed. They can differ by a centavo — the per‑invoice figure is the correct one, and it is what gets filed.

    06 — Tenders

    Payment breakdown

    LineFormula
CASH / VISA / GCASH / … (per method)Σ of all payments of that method collected for this terminal today.
    Total (bottom)Same as Net Amount.

A refund posts a negative payment against the original tender method, so the breakdown stays in step with the cash drawer.

    07 — Self‑Audit

The checks a user can run

On a clean day, these all tie to the centavo:

    Gross Amount = VATable Sales + VAT Amount + VAT-Exempt Sales + Zero-Rated Sales
Net Amount = Gross Amount − SC Discount − PWD Discount − Regular
    Net Amt(VAT Incl) = VATable Sales × 1.12
Net Amt(VAT Ex.) = Net Amount − VAT Amount
Ending Balance = Beg. Balance + Net Amount
Payment Breakdown total = Net Amount
    08 — Troubleshooting

"Why doesn't this match?" — quick answers

    SymptomExplanation
A voided sale's amount isn't in VATable Sales / Net AmountCorrect. Voids only appear on the Void Sales line.
A discounted sale was refunded, but a discount line still shows an amountThe refund should net it to 0. If it doesn't for SC/PWD, the refund ticket wasn't tagged as a senior/PWD transaction.
Payment Breakdown total ≠ Net AmountA refund was processed without going through the normal refund flow (no negative payment row was posted).
A reprint of an old Z shows slightly different centavosRe-running any reading re-derives that day's VAT columns from the line items. The originally‑printed paper is the record of truth.
A prior day's reprinted Z shows lower VATable than the paperA sale from that day was voided on a later day. The tax lines on a reprint reflect the void; the original filed Z does not.
Each terminal's Z counter is different / a new terminal starts at 1Expected. Every terminal keeps its own independent Z counter.
